2. What Data We Collect

We collect the following types of data:

Account and Profile Data

  • Your name, email address, phone number
  • Business name, business registration number (ABN, NZBN, etc.)
  • Business address, timezone, and location
  • Banking details entered by you for inclusion on invoices are stored securely and are not used for payment processing

Client and Business Data

  • Client contact information (names, email, phone, addresses)
  • Quotes and estimates you create
  • Invoices and payment records
  • Job details, notes, and completion data
  • Asset and equipment records
  • Expense records and receipts

Diagnostic Data

  • Log data (IP address, browser type, device type, timestamps)
  • Application logs, crash reports and diagnostic information necessary to maintain, secure and improve the Platform

Communication Data

  • Emails you send via the Platform (sent through Resend)
  • Support requests and correspondence

2A. Lawful Basis of Processing

We collect and process personal information only where necessary to provide the Services, comply with legal obligations, fulfil our contractual obligations or where you have provided consent.

3. How We Use Your Data

We use your data to:

  • Provide the Service: Create and manage quotes, invoices, jobs, and business records
  • Process Subscriptions: Your subscription is billed monthly through Apple's App Store In-App Purchase system
  • Send Communications: Send transactional emails (receipts, confirmations, password resets)
  • StumpCoach AI: Send anonymised business metrics to AI providers to generate insights and recommendations
  • Support: Respond to your questions and provide customer support
  • Improve the Platform: Resolve bugs, improve performance and enhance features based on diagnostic information and error reports
  • Security: Detect and prevent fraud, abuse, and unauthorized access
  • Legal Compliance: Comply with tax obligations, legal requests, and regulatory requirements

4. Who We Share Your Data With

We only share your data with trusted third-party service providers:

Subscription Payments

  • Apple App Store: Manages all subscription billing via Apple's In-App Purchase system. We do not have access to your payment card details.

Email Services

  • Resend: Delivers transactional emails on our behalf

Platform Infrastructure

  • Base44: The cloud platform that hosts and manages StumpPro's infrastructure

AI Services

  • AI Providers: Receive only the minimum business metrics necessary to generate insights for StumpCoach. Customer names, contact details, invoices, photographs and other directly identifiable personal information are not intentionally transmitted

Legal Authorities

  • We may disclose data if required by law, court order, or government request
  • We will notify you of legal requests when permitted by law

All service providers are bound by strict data protection agreements and must meet our privacy standards.

5. Data Security

We implement administrative, technical and organisational safeguards designed to protect personal information against unauthorised access, disclosure, alteration and destruction:

  • All data is encrypted in transit (TLS/HTTPS) and at rest
  • Data is stored in secure, multi-tenant cloud infrastructure with logical isolation
  • Access controls and authentication protocols protect unauthorized access
  • Security monitoring and infrastructure hardening is managed by Base44, our cloud infrastructure provider
  • We do not store sensitive payment card data

However, no system is 100% secure. You are responsible for keeping your login credentials confidential.

6. Data Retention

We retain your data as follows:

  • While Active: Your data is retained while your account is active
  • After Cancellation: Data is retained for 90 days after subscription cancellation to allow data export
  • Permanent Deletion: After 90 days, data is securely deleted from production systems, with encrypted backup copies retained only for disaster recovery until automatically overwritten, unless we are required to retain it for legal or compliance reasons

7. Your Data Rights and Choices

You have the following rights under privacy laws:

  • Access: You can request a copy of your personal data by emailing us
  • Correction: You can update or correct your personal data at any time
  • Deletion: You can request deletion of your data (subject to legal retention requirements)
  • Data Portability: You can request your data in a portable format
  • Opt-Out: You can disable StumpCoach to prevent anonymised data from being sent to AI providers
  • Withdrawal of Consent: Where applicable, you can withdraw consent for specific uses

8. Cookies

StumpPro uses minimal, essential cookies:

  • Session Cookies: Required to keep you logged in and maintain your session
  • Security Cookies: Used to prevent fraud and protect your account

We do not use advertising cookies, tracking cookies, or third-party analytics cookies. You can disable cookies in your browser, but this may affect Platform functionality.

9. International Data Transfers

StumpPro is operated from New Zealand. Your data may be processed and stored in different countries as part of our cloud infrastructure. We ensure that all international data transfers comply with applicable privacy laws and include appropriate safeguards.

10. Children's Privacy

StumpPro is not intended for use by individuals under 18 years old. We do not knowingly collect data from children. If we become aware that a child has provided data, we will delete it promptly.

11. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. Significant changes will be communicated via email or in-app notification. Your continued use of the Platform after updates constitutes acceptance of the revised policy. The effective date will be updated at the top of this policy.
